Contract Administrator (Finance)

The Contract Administrator supports the CVA Lead and Manager in managing PM with Labor CVA's, aligning with Wagner Equipment Co.'s commitment to working as “One Professional Team.”

Pay Rate:  $55,000.00 - $66,781.83 Annually
Pay rate is dependent upon education & experience. 

Essential Functions:

  • Collect and track equipment hours via GPS systems or direct customer outreach (phone, email, text).
  • Coordinate with customers and PSSR to gather necessary information for work order creation.
  • Set up Enrollment numbers in DBS system when needed.
  • Assist in developing and streamlining consistent processes for CVA development and reporting.
  • Monitor and report contract progress and shortfalls to the CVA Manager.
  • Maintain accurate, daily data entry in tracking systems; continuously improve process efficiency.
  • Manage cross-departmental communication and collaboration using project management skills.
  • Build and maintain strong customer and vendor relationships.
  • Provide timely, professional support to both internal and external customers.
  • Participate in customer update meetings.
  • Promote additional CVA options and Wagner services where applicable.
  • Develop a basic understanding of heavy equipment maintenance and engine systems.
  • Learn and apply knowledge of telematics and machine data reporting.
  • Perform other duties as assigned.

Required Education and Experience:

  • High School Diploma or GED
  • Some College or equivalent combination of education and experience
  • Contracts and project tracking experience
  • 3+ years administrative/clerical experience
  • 3+ years customer service experience
  • Prior experience in contracts and project tracking experience preferred

Physical Demands & Competencies:

    • Sedentary work, primarily involving sitting/standing; occasional lifting/moving up to 25 lbs
    • Frequent use of hands, hearing, talking, and walking
    • Requires skills in:
      • Safety & product knowledge
      • Data entry and organizational tasks
      • Verbal and written communication
      • Basic math and reasoning
      • Contract and project tracking
      • Project management and cross-functional coordination
      • Customer service

    Software Skills:

    • Basic: Microsoft PowerPoint
    • Intermediate: Microsoft Teams, Outlook, Excel
    • Preferred: Experience with DBS system and Power BI

Travel Requirements:

  • 1-10% (minimal travel)

Work Environment:

  • Noise level: Quiet
  • Location: Indoors
