Reimbursable Project Controls Specialist (Finance)



Position Description

Provide support to Project Management to coordinate and manage payment on reimbursable projects by interfacing with other company departments, government agencies and 3rd party engineering firms.

Essential duties:

  • Responsible for day-to-day analysis of open reimbursable projects status and pending items
  • Packaging invoices for 3 rd party and DOT agencies
  • Review various documentation such as business and project agreements to determine and create cost comparisons and recommendations
  • Reconcile project invoices with back up receipts, review project changes, research any discrepancies and evaluate supporting documentation
  • Perform cost reconciliation in MS Excel
  • Review, analyze and determine company files/database for backup documents
  • Learn and apply various processes and systems within the Project Controls department, including but not limited to CARS, PSA, Lawson
  • Serve as liaison between Project Manager and Accounting, ROW, and 3 rd party contacts
  • Drive internal stakeholders in other departments to complete tasks and resolve issues as a team
  • Work with a wide variety of people with tact, courtesy and professionalism
  • Respond in a timely manner to data requests from Project Management, Accounting, KM leadership, and 3 rd party contacts
  • Write effectively and understand written communications, including but not limited to email
  • Develop written documentation to document processes and recommend updates for process improvement
  • Understanding of project management principles
  • Maintain a high regard for personal safety, the safety of company assets and employees, and the general public
Miscellaneous duties:
  • Support updates to ad-hoc reports, as needed to generate KPI reports and support project related data requests for participation in periodic cost review meetings with various members of the PM management team and and/or their leadership
  • Provide ad-hoc vendor related support such as providing support to set up new Vendors in the Ariba Vendor Maintenance System
  • Train new Project Managers on project procedures and processes
  • Extended hours may be required to meet critical deadlines and handle special project assignments
  • Position may be filled at various levels depending on the experience and job skills of successful candidate

Position Requirements

Job Requirements (specific experience, skills, knowledge, certifications, licenses, working conditions):

  • Bachelor's Degree in Accounting, Finance, Business Management or Engineering, or Minimum of five years commensurate work experience with Accounting, Auditing, and IT
  • Work Location: Houston, TX; This position is eligible for a hybrid work schedule (M-W in office, Th & F at home)
  • Intermediate to advanced proficiency level in Microsoft Office applications, including but not limited to Outlook, Word, Excel, PowerPoint, and other Office Suite general products
  • Outstanding analytical and decision-making skills with a strong attention to detail to interpret information and produce an accurate work product
  • Ability to organize and prioritize daily work
  • Effectively prioritize workload between several projects including the ability to take on new projects and shift priorities on short notice
  • Must be able to manage multiple tasks successfully and simultaneously, and work with minimal direct supervision
  • Must be able to work with a team, take directions from Supervision, and adhere to established work schedules and deadlines
  • Exceptional communication skills including demonstrated ability to create and maintain productive relationships with teammates and other internal customers
Preferred Experience, Skills, and Knowledge (above the min required; not required, but advantageous in this position):
  • Familiar with Lawson (or other ERP system) to assist in data analysis
  • Possess basic understanding of upstream, midstream, and downstream projects
  • Direct work experience in energy/construction business and/or coordination project work, projects, and project personnel
