Mortgage Closing Specialist (Finance)



Role:

The Mortgage Closing Specialist plays a critical role in ensuring a smooth and accurate closing process for mortgage loans. This position requires meticulous attention to detail, strong communication skills, and the ability to work efficiently in a fast-paced environment. The specialist collaborates closely with attorneys, mortgage consultants, and other stakeholders to manage closing disclosures, fund loans, and support mortgage origination activities while maintaining compliance with regulatory requirements.

Location: Our headquarters are based in Syracuse, NY. We work in a Hybrid Model requiring a minimum of 5 days in office per month.

 

Essential Functions & Responsibilities:

 40%     Process Closing Documentation & Disclosures:

- Process closing emails from the credit union's attorney within 24 hours of receipt.

- Issue preliminary Closing Disclosures promptly.

- Review attorney-prepared Closing Disclosures within 24 hours and make necessary revisions.

- Issue final Closing Disclosures within the timeframe required by the Consumer Financial Protection Bureau (CFPB).

30%       Loan Funding & System Updates:

- Perform all funding duties, including transferring loan funds to the attorney's account or wiring funds to the closing attorney.

- Update Mortgage Click system with relevant information.

- Convert closed files to Fiserv DNA using LenderLink.

- Complete Home Mortgage Disclosure Act (HMDA) reporting requirements.

15%        Customer Support & Scheduling:

- Manage incoming calls in the mortgage origination queue.

- Answer basic questions regarding mortgage products and available grants.

- Schedule appointments for mortgage consultants.

10%        Pipeline & Loan Management:

- Manage the clear-to-close pipeline and monitor progress.

- Process loan extensions and issue revised Loan Estimates as needed.

- Assist with other department-related tasks and projects.

5%         Other Duties:

- Perform all other duties as assigned.

Performance Measurements:

 See Dayforce (HRIS) Performance Management for Goals upon start in role, and annually.

Knowledge and Skills:

Experience: 1 to 3 years of experience in mortgage processing, loan closing, or a related field is preferred.

- Experience with mortgage loan origination systems and closing procedures is highly beneficial.

- Proven ability to work effectively in a deadline-driven environment.

Education: A two-year college degree or completion of a specialized course of study at a business or trade school, or equivalent practical work experience. The candidate must be able to obtain or already possess NMLS certification in accordance with the S.A.F.E. Act of 2008.

Interpersonal Skills: Work involves much personal contact with others inside and/or outside the organization for the purpose of first-level conflict resolution, building relationships, and soliciting cooperation. Discussions involve a higher degree of confidentiality and discretion, requiring diplomacy and tact in communication.

Other Skills:

- Strong verbal and written communication skills.

- Ability to multitask and prioritize in a fast-paced setting.

- High level of accuracy and attention to detail.

- Proficient in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint).

- Familiarity with mortgage loan origination software and business systems (Mortgage Click, Fiserv DNA, LenderLink).

- Skilled in using general office equipment including 10-key calculators.

- Demonstrates diplomacy, tact, and discretion in handling confidential information.
