Project Coordinator (Finance)



TransCore (TCI), a subsidiary of ST Engineering, is seeking a Project Coordinator to join our team in Miramar, Florida.

Summary: The Project Coordinator provides administrative, planning and project support including documenting and reporting project activities in cooperation with, and under the direction of the Project Manager or their assigns.

Essential Duties & Responsibilities include the following. Other duties may be assigned:
  • Prepares weekly, monthly, and project specific work order reports including weekly timesheets and progress reports.
  • Daily tracking of technician hours, per activity and provide daily reports to field technicians and project manager.
  • Daily updates the project's field parts log and provides daily reports to the project manager.
  • Daily updates to the Department's ticket management system (OTM), including but not limited to Contractor Response time Report and Archive Ticket Reports.
  • Daily updates to the project Device Master List.
  • Daily updates to the Department's Final Repair Reports.
  • Monthly creation of dashboard and/or information related to the Monthly report.
  • Assists with shipping, receipt of shipments, and job code tracking of material.
  • Completes permit forms and applications from information provided by staff.
  • Contacts rental agencies to schedule Maintenance of Traffic devices, equipment, and supplies, as required.
  • Other coordination activities as assigned by the PM or their assigns.
  • Manages employee time sheets and daily reports.
  • Maintains office records, both paper and electronic formats.
  • Assist in monitoring the health of ITS using the Department's ticket management system (OTM).
  • Report and escalate issues to management as needed.
  • Assist in the creation and maintenance of comprehensive project documentation, plans, and reports.
  • Participates and documents via notes in conferences and meetings and distributes as required.

Requirements and Qualifications
  • AA Degree in Business or equivalent work experience may be substituted in lieu of degree. High School Diploma is required.
  • Typically requires 2-5 years of relevant experience.
  • Follows policies and procedures.
  • Excellent computer skills (use and operation of systems in a network and cloud environment).
  • Direct MSOffice experience (Word, PowerPoint, Excel etc.).
  • Computer skills and use of financial type systems.
  • Excellent written and verbal communication skills.
  • Solid organizational skills including diligence and multitasking skills.
  • Ability to exercise good judgment, tact and diplomacy in all customer and employee dealings.

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.

While performing the duties of this job, the employee is regularly required to sit for extended periods of time. Requires frequent use of keyboard and mouse, must be able to wear a headset for prolonged periods. The noise level in the work environment is usually moderate. Apply
