Executive Assistant (Administrative)



· Draft agendas and minutes; prepare briefing materials for Board of Directors, Board Committees and Management meetings; in consultation with the Chief Executive Officer, determines what issues to include, how to frame topics, and identifies requirements and limitations of bylaws and ensures actions are consistent with bylaws
· Coordinate and assist with the completion of projects, including research, documentation, spreadsheets, development and presentation design, and tracking plan performance; maintain a paper and electronic filing system for all necessary documents in compliance with applicable laws
· Develop and maintain routine processes for updating and keeping Chief Executive Officer informed on all daily activities, messages, appointments, external and internal inquiries, and tasks
· Manage the Chief Executive Officer's calendar, schedule appointments, meetings, and conference calls
· Produce timely, accurate, and complete correspondence, reports, and other business documents in a professional manner for the Chief Executive Officer and other staff as directed Assist others, as needed, with work to best serve the overall needs of the agency

Secretary to the Board of Directors
· Serves the Board of Directors as the Recording Secretary
· Prepares all materials necessary in orchestrating quarterly Board meetings
· Supports the Board Committee Chairs with scheduling meetings and preparing agendas
· Attends all meetings as the Recording Secretary; transcribes and distributes minutes
· Serves as gatekeeper of all Board records, policies, and the Board Portal
· Provides additional support to the Board members as needed

Project Management and Coordination
· Conduct research, analysis and organize information necessary to develop and define project scope, develop presentation design, and monitor goals and timelines
· Work with management to coordinate the implementation of projects and policies
· Manages project plan performance
Data and Reporting
· Extracts and analyzes data from agency databases and conducts appropriate follow-up
· Produces reports for management and Board of Directors
· Researches data discrepancies; resolves issues or forward to appropriate staff
