Media Sales Assistant (Finance)



WUSF is a comprehensive public media organization that operates WUSF 89.7, an NPR news radio station, and all-classical music radio station, WSMR 89.1 and 103.9, and provides digital content online, through newsletters, podcasts and social media and serves a weekly broadcast audience of greater than 350,000. WUSF is a department of the University of South Florida, with 89 employees and a budget of $11 million and provides internships to students. WUSF's main studios are on the USF Tampa campus, with a broadcast and music performance studio on the USFSM campus and an office and news production studio on the USFSP campus.

The WUSF's Media Sales Assistant's role at WUSF is essential for smooth operations, encompassing underwriting order management-from securing and verifying broadcast and digital orders with FPM and NPM to ensuring compliance in the Wide Orbit Traffic System. The position also plays a key part in event planning and coordination, handling logistics and on-site support for WUSF's events. Additionally, responsibilities include weekly contractauditing and DocuSign processing, managing Account Executive expenses, providing comprehensive client support and database management via CRM, and generating crucial financial reports and analyses. This role further contributes to internal team cohesion through staff engagement support and provides necessary administrative and lobby assistance.Minimum Qualifications: This position requires a high school diploma or equivalent, with at least four years of experience in an office or administrative support position. Appropriate college coursework or vocational/technical training may substitute at an equivalent rate for the required experience.

Preferred Qualifications: Preferred Qualifications: An Associate's Degree in Business with four years of experience in an office or administrative support position. Experience with Eventbrite, CRM Software, Media Trafficking software, and all Microsoft Office Products.

FLSB1310 Equivalency:

4 years of directly relevant experience may be substituted for a bachelor's degree.

6 years of directly relevant experience may be substituted for a master's degree.

  • Underwriting Order Management: Responsible for working with Florida Public Media (FPM) and National Public Media (NPM) representatives to assist them in placing broadcast and digital orders. After securing orders,into review and verify all information as described in the order; enter orders in to the Wide Orbit Traffic System; review copy to assure copy adheres to WUSF Public Media guidelines. Understand the workings of FPM and NPM accounts and FPM and NPM projections.

  • Event Planning & Coordination: Help lead the planning, coordination, and execution of various WUSF events, engagement events, and help with the Special Events Committee. This includes helping to manage logistics, vendor coordination, attendee communication, and on-site event support to ensure successful and engaging experiences.

  • Contract Auditing and DocuSign: Conduct weekly auditing using Traffic Reports and internal logs for completed cash and trade contracts submitted by the Account Representatives. Processes contracts in DocuSign for the client and the General Manager's signature and provides completed contracts to the Business Office.

  • Expense Management: Manage and process mileage, travel, and conference expenses for Account Executives. Submit paperwork to the USF Foundation and the Business Office for processing

  • Client Support & Database Management: Assist Account Executives with prospective, new, and renewing clients. Coordinate, maintain, and help manage a database for all contacts for the Underwriting Department by utilizing the contact management system (OnePage CRM) and internal logs. This includes fielding and tracking all underwriting inquiries and prospects, and distributing them to Account Executives as directed. Facilitate the onboarding of new Underwriting Sponsors and provide customer support for new and renewal sponsors.

  • Reporting & Analysis: Develop regular reports for the department and manager. Reports include using data weekly to track billing revenue and versus goal projections. Other reports include monthly, quarterly, and annual billing.

  • WUSF Staff Engagement Support: Work with the Executive Administrative Specialist and other staff to plan and execute internal team-building activities across all departments

  • Lobby Presence & Administrative Support: Fill-in for the receptionist, process mail and checks as needed.
