Inventory Technician Senior (Finance)

Job Description

PURPOSE SUMMARY.

Under the general supervision of a Deputy Chief, is responsible for accurate inventory accounting, including receiving, processing, recording, and distributing supplies and materials. Under the general supervision of a Deputy Chief, the position is responsible for annual fixed assets inventory. The position will also coordinate the department's annual maintenance scheduling for SCBA's, hose, and ladders, as well as extraction and EMS equipment.

ESSENTIAL DUTIES.

1. Organize workflow for purchasing and inventory. Tasks include but not limited to:

  • Establish schedules and systems for shipping and receiving.
  • Prepare, maintain, and keep detailed records and reports.
  • Monitor inventory flow to ensure inventory stock meets the department's demands, conducts spot checks of quantities, reviews inventory report lists for discrepancies, and makes recommendations to supervisor.
  • Maintain a clean, organized, and safe environment.
  • Purchase apparatus parts, tools, related fluids, supplies, and diagnostic computer software from the contract and non-contract vendors.
  • Review order requests; obtain price quotes, review comparisons, place orders through purchase orders; arrange for deliveries and pickups; travel to parts vendors to pick up priority parts as necessary.
  • Receive, store, and issue parts and supplies; verify incoming shipments for appropriate quantity and quality; inspect all items; stock shelves with parts and supplies.
  • Conduct annual inventory of parts and inventory reconciliation; determine minimum and maximum inventory levels; maintain adequate stock levels and records on all materials.
  • Return damage, warranty, or faulty parts to vendors; process claims with vendors for damaged materials; monitor invoices for accuracy; obtain credits where appropriate; complete and obtain warranty work approval and reimbursement where applicable.
  • Participate in budget administration; monitor and control budgetary expenditures.
  • Coordinate annual maintenance scheduling for self-contained breathing apparatus's (SCBA), breathing air compressors, hoses, ladders, as well as extraction and EMS equipment.
  • Coordinate and schedule annual Hose and Ground Ladder testing.
  • Coordinate annual fire personal protective equipment (PPE) advanced turnout cleaning and inspection program; conduct routine turnout cleaning.
  • Order materials, fire station supplies and equipment, EMS supplies, and uniform clothing.
  • Receive, stock, and issue materials, supplies, and uniform clothing; verify incoming shipments for appropriate quantity and quality.
  • Inventory materials, supplies, and clothing; report replacement needs; establish minimum/maximum stock levels and monitor stock levels based on usage and lead time.
  • Maintain files; compile records of supply transactions; input and receive data from a computer terminal; post supplies issued; prepare quarterly and yearly performance reports.
  • Provide follow-up on all orders to ensure delivery schedules are met.
  • Assist in preparing bid specifications for all medical, operating, and utility supplies; meet with prospective vendors; research and recommend new products and equipment.

2. Asset accountability. Tasks include:

  • Serve as the department's primary point of contact for asset management.
  • Conduct annual physical fixed assets inventory. This includes traveling to remote sites to verify the location and status of assets.
  • Ensure all assets are tagged and recorded by county policy.
  • Ensure assets are disposed of by county policy, including preparing the surplus equipment for disposal or sale.
  • Generate acquisitions and disposal of assets by county policy.
  • Conduct random audits at supervisor's request. This includes traveling to remote sites to verify the location and status of assets.
  • Communicate problems to supervisor regarding potential loss and non-compliance with county procedures.

3. Follow procedures for purchasing requests for equipment and repairs to equipment. Tasks include:

  • Assist in the review of deliveries and issuing of assets to the appropriate receiving and assigned employees.
  • Assist supervisor in finalizing sale contracts and purchase orders.
  • Work with vendors to research products and services and when large purchase orders are expected and coordinates office logistics.
  • Maintain asset records to support purchasing actions.
  • Complete a variety of inventory forms.

ADDITIONAL DUTIES.

  • Assist with required assembly and distribution of purchased inventory to the department.
  • Basic cleaning of varied items, including detergents and handling debris.
  • Perform other related duties as assigned.

QUALIFICATIONS.

A. Education. A high school diploma and or equivalent is required.

B. Experience. A minimum of four (4) years related experience in a retail or warehouse environment in product identification, handling, and storage procedures, planning, and tracking receivables and deliverables. Forklift operator certification is preferred.

C. Education/Experience substitution. In Accordance with County Policy.

D. Licenses/Certifications. N/A

E. Other (e.g., post-offer medical exam, polygraph, background check, driver's license record, etc.). Must have a valid driver's license and pass a background check with no felony convictions.

KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED BY THE POSITION:

Knowledge of:

  • Government accounting and procurement guidelines; government sales, such as local and online auctions.
  • Best practices as to acquisition and disposal of assets.
  • Excel software and creating and maintaining spreadsheets.
  • Proper usage of spelling, grammar, and punctuation.
  • Methods to maintain accurate records, including financial transactions.
  • Computers and other office hardware and relevant software to support general office functions.

Skilled in:

  • Operating a computer and software, general office equipment, including a scanner, and equipment used for inventory purposes.
  • Preparing reports, performing accurate data entry, and maintaining accurate, detailed, and complex records in an automated environment.
  • Problem-solving with minimal direction and oversight.
  • Handling work requiring close attention to detail to include significant numerical and financial data.
  • Applying knowledge of business correspondence standards, including English spelling, grammar, formatting, and punctuation.

Ability to:

  • Provide courteous and professional customer service.
  • Write reports, business correspondence, and procedure manuals.
  • Effectively present information and respond to groups, managers, clients, customers, and the general public.
  • Independently problem-solve and use sound discretion in making critical decisions that impact the county.
  • Work independently with little supervision while managing time efficiently.

  • Handle varied responsibilities, sometimes with frequent interruptions and tight deadlines.

  • Use hand tools.
  • Operate a forklift, pallet jack, or pallet lifter as needed.

Compensation Range
$21.16 - $31.74
