Administrative Assistant for Vocational Nursing Program (Administrative)

POSITION SUMMARY

Join our dedicated Nursing Department as an Administrative Assistant, where you'll play a vital role in ensuring the smooth operation of our nursing programs. Schedule

Monday - Friday

8 am to 5 pm.


Key Responsibilities

As the Administrative Assistant, you will:

  • Be the first point of contact for students, visitors, faculty, and staff—offering a welcoming, professional presence.
  • Support the Dean/Director of Nursing and department team with a variety of administrative functions.
  • Maintain accurate and confidential office and student records, including filing, organizing, and archiving.
  • Prepare a range of materials including syllabi, exams, reports, and departmental communications.
  • Manage departmental inventory, ordering supplies as needed to keep clinical and office areas fully stocked.
  • Organize and maintain department calendars, coordinate meetings, and arrange travel and appointments.
  • Draft and format correspondence, meeting minutes, and official documents with accuracy and professionalism.
  • Ensure timely communication via phone, email, and in-person requests; manage mail and fax distribution.
  • Collaborate across departments to support nursing program operations and continuous improvement.
  • Identify ways to enhance efficiency and streamline office procedures.
  • Take initiative and ownership of tasks with minimal supervision in a fast-paced, dynamic environment.


Qualifications:

  • High School diploma or equivalent (required)
  • 2+ years of administrative or secretarial experience, preferably in an academic, healthcare, or hospital setting
  • Familiarity with medical terminology (a plus)

Skills & Abilities:

  • Strong interpersonal skills—able to build positive working relationships across all levels
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook); knowledge of Colleague or other database systems is a plus
  • Excellent written and verbal communication skills
  • Ability to handle confidential information with professionalism and discretion
  • Highly organized, with strong attention to detail and accuracy in data entry and document preparation
  • Comfortable managing multiple tasks, shifting priorities, and working independently
  • A proactive mindset and a willingness to identify and implement improvements
