Summary - basic function of the role

The Sales Operations Specialist supports the assigned branch location and/or vertical market and is responsible for supporting Account Managers and the commercial team. The incumbent responds to customer questions, processes orders, and manages order status through closure. They build rapport with customers by providing superb communication and customer service. Success is measured by achieving monthly, quarterly, and annual sales objectives, while ensuring the optimum customer experience and satisfaction.

Location: In-office Monday - Thursday, Friday optional work-from-home

Job Duties and Responsibilities

  • Build sustainable relationships and trust with customer accounts through open and interactive communication.
  • Support the outside sales team to meet or exceed sales goals by processing orders as assigned or by direct customer request.
  • Ensures internal and external customer satisfaction by effectively managing the order process from order receipt to deliveries and returns.
  • Enter, update and maintain detailed and accurate records and order documentation.
  • Support all commercial opportunities by providing administrative support and coordinating pre- and post- sale activity with relevant entities:
    • Externally between the Customer and the Commercial Team
    • Internally between the Commercial Team, Technical Services, Product Operations, Asset Management, and Finance.
  • Create, input, enter, submit, file and maintain quotations, contracts, orders, invoices and/or other various files and records.
  • Proof, review, or fact-check all records, documents, and customer communication for accuracy.
  • Maintain knowledge of current product pricing learning new product information as required.
  • Provide Commercial Team with additional sales support as necessary.
  • Establish, maintain and enhance all inter-departmental relationships.
  • Support all regional commercial strategies by coordinating larger or more complex projects with commercial management team as required.
  • Answer customer inquiries in a timely manner; via phone and email.
  • Manage order status and progress to ensure customers are invoiced timely and accurately.

Skills and Competencies
  • Highly technical with ability to demonstrate a broad range of products
  • Must be results-oriented, self-motivated and able to work in a team environment
  • Ability to multi-task and adapt to schedule changes
  • Strong organizational skills and attention to detail
  • Exceptional phone and interpersonal skills with ability to communicate effectively (written/oral) with diverse group of business partners: Customers, Executives, Management, Co-workers, Vendors and Suppliers
  • Computer skills include knowledge of Microsoft Windows software suite (Outlook, Excel, Word, etc.) and company business ERP system
  • Strong customer service and problem-solving skills are preferred
  • Knowledge and experience in Oil & Gas and Industrial industries is a plus

Education and Experience

Associate degree in business, sales, or a similar field, Bachelor's degree preferred; or 3 or more years Sales, Sales Support or Customer Service; or equivalent combination of education and experience.

Physical Demands

Employee may have to lift documents/work materials up to 30 pounds in weight. Employee may have to lift tools up to 100 pounds in weight. Employee will have to be able to walk/climb to a variety of primary work locations, including traveling by air/auto to remote sites. This can include occasional ascending or descending ladders, stairs, scaffolding, ramps, poles, and the like. Employee will need to listen, understand, and speak with team members in person, telephonically, and electronically at all levels within a diverse workforce and with supported organizations. Employee can work in front of a personal computer and telephone for long periods of time. Will have repetitive motions that include the wrists, hands, and/or fingers.

Work Environment

Primary work environment is temperature-controlled office setting or a typical warehouse environment but may also be visiting different customers where following appropriate safety protocols at the location would be required. While in the warehouse or visiting customers, employee may be exposed to high/low temperatures, outdoor elements (such as precipitation and wind), high levels of noise, hazardous conditions, poor ventilation, small and/or enclosed spaces, or adverse environmental conditions.
