Receptionist/Administrative Assistant (Legal)

Job Description:

The Receptionist & Administrative Assistant is responsible for managing front desk operations and providing administrative support to ensure efficient office operations. This role involves greeting visitors, handling inquiries, and performing various clerical tasks. The Receptionist & Administrative Assistant works closely with different departments to support overall office efficiency and maintain a professional environment.

Essential Job Responsibilities

  • Manages front desk operations by greeting visitors, answering phone calls, and handling inquiries.

  • Provides excellent customer service to ensure a positive experience for visitors and staff.

  • Performs clerical tasks such as filing, data entry, and document management.

  • Maintains office supplies inventory and orders supplies as needed.

  • Assists with deadline management by tracking and prioritizing tasks.

  • Facilitates meetings and events by preparing materials and coordinating logistics.

  • Utilizes Microsoft Office to create and edit documents, spreadsheets, and presentations.

  • Invoicing and expense reports through Chrome River software. (We will train)

  • Data entry using Aderant. (We will train)

  • Ordering food for meetings and events.

  • Demonstrates multitasking abilities by handling multiple tasks and priorities efficiently.

  • Operates office equipment such as printers, copiers, and fax machines.

  • Solves problems by addressing issues and finding effective solutions.

  • Maintains professional etiquette in all interactions with visitors and staff.

  • Communicates effectively through written and oral communication.

  • Supports document management by organizing and maintaining files and records.

  • Engages in interpersonal communication to foster a positive work environment.

  • Monday-Friday 8:00am - 5:00pm

Qualifications & Requirements

  • Education: High school diploma or equivalent required; Associate's or Bachelor's degree preferred.

  • Experience: Proven experience in reception or office administration.

  • Desired Skills: Clerical Skills, Customer Service, Deadline Management, ,Detail-Oriented, Document Management, Facilitation, Interpersonal Communication, Microsoft Office, Multitasking, Office Equipment, Problem Solving, Professional Etiquette, Travel Scheduling, Written Communication

  • Ability to lift or move 40 lbs. or greater

  • Ability to grasp, lift or carry packages on a standard wheeled cart with a load capacity of 75 lbs.

  • Ability to walk, bend, kneel, stand or sit for an extended period of time

The Compensation range for this role is 22.82 to 27.50 USD per hour and may be eligible for an annual bonus. Actual compensation within that range will be dependent upon the individual's location, skills, experience and qualifications.
