Purchasing Coordinator (Project Management)



The salary for this grant-funded position is at $26.00. We take into consideration an individual's background and experience in determining salary; therefore, base pay offered may vary considerably depending on job-related knowledge, skills, and experience. The compensation package includes a wide range of other benefits and earned time off that vary depending on part-time or full-time status.

1. Job Summary:
The Purchasing Coordinator provides centralized administrative support for purchasing needs for the Association including but not limited to preparing and processing purchasing requests and orders, keeping records of purchases, maintaining vendor information, and organizing supply and equipment purchases.
2. Essential Functions:
· Prepare and process routine and impromptu purchase orders and requests.
· Keep records of purchases including data entry of assets as needed.
· Manage and maintain up-to-date vendor information and catalogs.
· Provide training and clarification on purchasing related systems, applications, processes, policies, standards and reporting.
· Prepare bids including descriptions as necessary.
· Facilitate ordering the Association's supplies, services, venues and equipment to ensure availability or inventory is in stock and distribution or confirmations are made.
· Communicate with department staff on status of orders and assist with necessary returns.
· Work with the Accounting department to resolve issues with invoices, POs and set up accounts with new vendors.
· Be the point of contact for any vendor inquiries and issues.
· Process check requests.
· Assist with purchasing needs for special projects such as FFE, and capital including for co-op members.
· Other duties as assigned.
3. Relationships:
This position reports to the Purchasing Director who reports to the VP of Finance. The incumbent works closely with other association office staff and branch staff. The incumbent has no budgetary or supervisory responsibilities.
4. Qualifications:
Required:
· Post-secondary education in business, accounting or supply chain management
· Minimum of 3 years of administrative experience
· Experience or coursework in a purchasing support role
· Knowledge of competitive bidding statutes and purchasing procedures
· Knowledge of auditing and accounting principles
· Strong oral and written communication skills
· Ability to analyze data and make conclusions and recommendations.
· Familiarity with using purchasing systems
· Ability to work with people at all levels within the organization.
· A strong working knowledge of Microsoft Excel, Microsoft Word and Microsoft Outlook
· Experience in a fast-paced environment
· Strong attention to detail
· Ability to work and communicate with a diverse population
· Ability to work well as part of a team
Preferred:
· Bachelor's degree in business, accounting or supply chain
· Multilingual

5. Work Conditions:
Must be able to work on a computer for extended periods of time.
6. Additional Notes:
This job description represents the major functions of the position but is not intended to be all inclusive. The incumbent is also responsible for taking direction from the Vice President of Finance or Chief Financial and Administrative Officer or their representatives in completing projects or performing duties deemed necessary for the branch, camp or Association.
