Academic Program Services Advisor (Finance)



Minimum Education & Experience:

Bachelor's degree required; Master's degree preferred.

Minimum of 2-3years of experience in academic advising or program coordination in a higher education setting.

Senate Bill 1310-The Florida Senate(https://www.flsenate.gov/Session/Bill/2023/1310) is conditional upon meeting all employment eligibility requirements in the U.S.

SB 1310: Substitution of Work Experience for Postsecondary Education Requirements

A public employer may include a postsecondary degrees as a baseline requirement only as an alternative to the number of years of direct experience required, not to exceed:

(a) Two years of direct experience for an associate degree;

(b) Four years of direct experience for a bachelor's degree;

(c) Six years of direct experience for a master's degree;

(d) Seven years of direct experience for a professional degree; or

(e) Nine years of direct experience for a doctoral degree

Related work experience may not substitute for any required licensure, certification, or registration required for the position of employment as established by the public employer and indicated in the advertised description of the position of employment.

Minimum Qualifications that require a high school diploma are exempt from SB 1310.

Knowledge, Skills& Abilities

Technical Skills:

Proficiency in USF systems: Canvas, GEMS, Banner, Degreeworks, Archivum.

Strong database management and Excel skills.

Soft Skills:

Excellent communication and interpersonal skills.

Strong problem-solving and organizational abilities.

Ability to work collaboratively and independently.

Industry Knowledge:

Understanding of academic administration, curriculum development, and student services in higher education.

Preferred Qualifications:

Masters degree in advising or related field

3 yrs of academic advising experience.

Experience using Banner and Degree Works for student records

Working Conditions:

Standard 100% in office environment with occasional evening or weekend hours for recruitment or orientation events.

Interaction with students, faculty, and administrative staff across departments.

Environment - Typical indoor environment/office setting.

Physical Requirements - climbing, standing, stooping, and/or typing; Ability to lift up to 20lbsas needed.

Travel - Ability to travel to other USF campuses and/or other locations as requested.

o Advise undergraduate, graduate, and certificate program students on academic progress, degree requirements, and university policies.

o Pre-advises new transfer and freshman students; assists with orientation sessions.

o Certifies graduation for graduate students.

o Maintains and updates student records in Degree works, Archive, and Banner.

o Issues and manages course permits; liaises with instructors.

o Disseminates program information and acts as a liaison with BCS advising and other departments.

Course Scheduling &Curriculum Support (25%)

o Coordinates semester course schedules and tracks course frequencies.

o Maintains and update score and elective offerings based on student needs and faculty availability.

o Supports catalog updates and course inventory management.

o Assists with new course proposals and cross-listings.

Records Management, Outreach & Recruitment (15%)

o Maintains academic records systems, Canvas advising pages, and listservs.

o Participates in recruitment and advising events on and off campus.

o Supports efforts to increase student enrollment and engagement.
