Accounts Payable Assistant (Administrative)



WEST Consultants, Inc., a premier firm in water resources engineering, is seeking a qualified Accounts Payable Assistant to join our Tempe, AZ, office. This in-person position provides vital accounting and administrative support to both our corporate team and the Tempe office.

Position Overview
The Accounts Payable Assistant will handle a variety of tasks, including accounting support, data entry, project setup, and some general office support. The ideal candidate will be detail-oriented, organized, and capable of managing multiple priorities and meeting deadlines in a professional environment.
Educational Requirements:
Associate degree or higher preferred.
Experience Requirements:
Minimum three years of related accounting/bookkeeping experience.
Experience in an Architecture & Engineering (A&E) firm is highly desirable.
Skill Requirements:
Proficient in Microsoft 365 suite: Excel, Word, Outlook, PowerPoint, and Teams
Familiarity with bookkeeping practices, general ledger (GL), accounts payable (AP), and accounts receivable (AR)
Experience with FARS rules of accounting and project accounting practices
Software experience with Microsoft Dynamics SL, SharePoint, and UKG/PeoplePro is preferred
Ability to perform mathematical calculations, typing, and keyboard skills
Solid written and verbal communication skills, including grammar, spelling, and punctuation
Technical aptitude to learn new software and systems
Strong critical thinking, time management, and organizational skills
High attention to detail, thoroughness, and accuracy of work
Ability to manage multiple priorities and meet deadlines
Self-starter with the ability to take initiative, manage individual workload, and demonstrate accountability
Must have a valid drivers license

Duties Include:
Accounting Support:
Entering accounts payable and assisting with project setup, creating and reconciling expense reports and credit card statements, entering and reviewing financial data and verifying accuracy, ensuring FARS compliance, balancing accounts, tracking deadlines and ensuring timely completion of tasks, providing administrative support to the bookkeeper/payroll department, and performing other duties as assigned.

Administrative Support:
Greeting clients and visitors in a professional and welcoming manner; processing mail and managing shipments; running office errands; maintaining office and kitchen supplies; coordinating maintenance of office equipment; planning office events; perform general filing, data entry and document management; the following tasks are as needed - answering and routing incoming calls, scheduling meetings and overseeing logistics; registering staff for conferences and training; arranging travel and accommodations; and providing general administrative support to staff, including proofreading, formatting, and printing documents.

Compensation and Schedule
$26.40 to $33.75 hourly, part-time non-exempt
20 to 30 hours per week, in-person, with some flexibility. Availability on Friday afternoons is required.
