QUALIFICATIONS: 
  1. High School graduate in commercial course with one year of secretarial and clerical experience or Associates degree in secretarial or business major or equivalent combination of acceptable training and experience.
  2. Ability to type accurately and operate other business machines.
  3. Working knowledge of computer software:  word processor, spreadsheet, scanning and database preferred.  Experience with Google Suite preferred. 
  4. Ability to transcribe both handwriting and dictation accurately and with reasonable speed for a variety of correspondence, reports and other materials within a timely manner.
  5. Knowledge of methods and techniques used in record keeping systems and in organization of information.
  6. Considerable knowledge of business English, spelling and punctuation.
  7. Ability to meet and deal effectively with associates and the general public both in person and by telephone.
  8. Ability to work cooperatively with other office personnel; be pleasant and hospitable to visitors.
  9. Ability to work independently on difficult or complex clerical tasks.
  10. Ability to identify with the agency Mission Statement and support the agency's Core Values.
  11. Eligible for PA State Police Clearance, PA Child Abuse History Clearance and FBI Clearance.
 CORE COMPETENCIES: 
  1. Support the referral program accurately and in a timely manner. Complete POMS report, update county data base monthly, run all reports regarding county funded clients as requested by supervisor or county personnel.   
  2. File and scan client records for all programs into the EMR and hard chart while checking for completeness.  Verify materials are filed and processed correctly.
  3. Perform receptionist duties: Answer telephone, accept referrals, send faxes and distribute incoming faxes to appropriate staff. Schedule appointments; answers not requiring knowledge of professional subject manner; refers more complex issues to appropriate agency staff.
  4. Monitor case files for completeness of forms, track and distribute documents, complete filing for assigned programs in a timely manner, and complete dictation as assigned.
  5. Provide secretarial support; typing, scheduling, copying as requested by program staff.
  6. Maintain appropriate professional boundaries and seek supervision when questions arise
  7. Assist Program Manager/Program Supervisor with tasks as assigned to support training and hiring.
  8. Assist and support all programs and all locations as designated by Program Manager 
  9. Prepare documents needed for meetings and submission to insurance companies for Prior Authorizations.  
  10. Update and maintain internal program trackers and provide notification as needed to department staff.
  11. Assist with organization and review  documentation to support Program Audits.  
  12. Support Psychiatric Team by preparing documentation needed prior to appointments. 
  13. Help maintain office area, waiting rooms, and common areas in good working order .  Alert  Program Manager if any concerns with technology, security, and building maintenance including cleanliness becomes an issue. 
  14. Help create a warm, friendly environment for both clients and staff.

Job Location: 
Beaver Falls, PA

Position Type:
Part-Time (up to 29 hours/week) 
This will include 10hrs (2 - 5hr days) at the Rochester EPIC program, and afternoon hours at the BF OP clinic
