Role Overview 

As the Construction Contracts Manager, you'll have a big mission. You will be responsible for assuring the Company's standards are achieved and excellent customer service is delivered. You also understand the value of taking a moment to express gratitude to the village that helped to make it happen. As you can likely tell, 'how' things are done matters just as much as ‘what' is done here at B.HOM.  

Key Responsibilities 

  •  Provide direct administrative support to the COO, including calendar management, meeting scheduling, travel coordination, and correspondence handling.
  • Prepare executive-level reports, presentations, agendas, and meeting minutes.
  • Serve as a liaison between the COO and internal/external stakeholders.
  • Track action items and ensure follow-through on strategic initiatives.
  • Support COO in cross-departmental communications and operations.
  • Coordinate and maintain documentation related to company policies, vendor onboarding, and compliance.
  • Assist with project management tasks and milestone tracking across key initiatives.
  • Organize and manage internal documentation repositories including contracts,
  • NDAs, and corporate documents.
  • Assist in preparing data and materials for board meetings, investor updates, and strategic planning sessions.
  • Draft, review, and manage the lifecycle of all construction and vendor contracts, subcontracts, and change orders.
  • Ensure contracts are executed accurately and stored securely with appropriate version control.
  • Maintain tracking systems for deadlines, renewals, insurance compliance, lien waivers, and deliverables.
  • Coordinate with legal counsel and internal departments to ensure contract terms meet compliance and risk standards.
  • Oversee contractor/vendor onboarding processes including COIs, W-9s, and licensing documentation.
  • Support the construction leadership team in compiling and managing RFPs and bid processes.
  • Facilitate invoice processing in conjunction with the Director of Facilities/Construction
  • Act as liaison between B.HOM Construction team and pertinent municipalities
  • Act as a bridge between construction, legal, and operations to ensure seamless contracts and project execution.
  • Monitor and assist in workflow optimization, particularly with tools and systems used for project management (e.g., Procore, Smartsheet, DocuSign).
  • Ensure alignment of documentation practices and information flow between departments.
  • Other duties as assigned

 

You Have  

  •  Associate or bachelor's degree required; concentration in Construction Management, Business Administration, or related field preferred; equivalent experience is acceptable.
  • 4+ years of experience supporting executive leadership and/or managing contracts in a construction, real estate, or property management environment.
  • Familiarity with AIA contract structures, lien laws, and insurance certificate requirements.
  • High level of discretion and ability to manage sensitive information.
  • Proficiency in Microsoft Office Suite, Adobe Acrobat, and contract/project management software (e.g., Procore, DocuSign, Smartsheet).
  • Strong communication skills and professional demeanor.
  • Exceptional attention to detail and organizational capabilities.
  • Experience in student housing, multifamily, or commercial construction/operations, preferred.
  • Working knowledge of compliance, risk management, or legal review processes, preferred.
  • Notary Public designation is a plus.
  • Familiarity with corporate governance documentation and executive reporting, preferred.
