The salary range for this position is $69,500 - $86,900 per year based upon a San Francisco location. Offered salary is dependent upon experience and location. Kendo Total Rewards offerings also include an annual bonus and a comprehensive benefits package including: medical, dental and vision insurance, flex paid time off program, parental leave, employee discount/perks, a retirement plan with employer contributions, Summer Fridays, opportunity to work from anywhere for two weeks during the calendar year and December wellness/shutdown week for applicable positions.

POSITION SUMMARY

The Associate Manager, Events and Employee Communications will support the planning, coordination, and execution 30+ annual events including live conferences, virtual meetings, tradeshows, consumer events and employee engagement experiences. This position will also support creating and sending employee communications through various internal channels.

This role will be instrumental in creating effective internal communication and fostering a positive company culture through engaging events and strategic communication efforts.

RESPONSIBILITIES

STRATEGY DEVELOPMENT & EXECUTION

  • Lead and manage the planning and execution of virtual events and employee experiences
  • Support events through pre-planning, on-site execution, and post-event wrap-up; manage hotel blocks/housing, registration, audiovisual setup, food & beverage allocation, diagramming, room setup, on-site schedules, walk-throughs, and site visits.
  • Support the RFP process by submitting and tracking event bids.
  • Manage registration processes for event attendees, speakers, and VIPs, including auditing and reporting.
  • Handle event communications, including calendar holds, registration, surveys, general updates, etc.
  • Perform administrative tasks, including data entry, reporting, and contract management using Microsoft Excel, Outlook, Google Sheets, Asana, and other software.
  • Plan and execute employee engagement activities and events to foster a positive work environment.

STAKEHOLDER ENGAGEMENT
  • Serve as the primary point of contact for virtual and employee events, ensuring their vision and expectations are met.
  • Manage the global events and employee comms inbox.
  • Recap meetings and share updates with all stakeholders.
  • Creating and share monthly employee calendars and post on all internal communication channels.

EVENT DESIGN AND TECHNOLOGY
  • Directs event design through managing stakeholders KPIs, budget and sourcing décor and propping
  • Support briefing conference and communication logos, theme and names to creative partners
  • Support event logo, deck and design narrative creation with creative partners and stakeholders
  • Creation and management of event landing page/website
  • Support updating employee intranet content

MARKETING AND INVENTORY MANAGEMENT
  • Assist in developing event-related communications, including signage, promotional materials, agendas, event guides, and pre/post-event surveys.
  • Support the creation of event and marketing collateral.
  • Coordinate with internal stakeholders on event product needs and availability.
  • Submit product orders and manage the shipping/receiving process to ensure venues receive products based on shipping requirements and event timelines.
  • Work with vendors to source event swag and promotional items, including costs and samples.
  • Maintain event supplies and inventory by managing inventory levels, expiration dates, ordering, and receiving supplies and products for events.

BUDGET MANAGEMENT & RESOURCE ALLOCATION
  • Support maintaining event budgets by opening purchase orders, submitting invoices, and tracking payments to ensure timely and accurate accounting.

ANALYTICS, REPORTING & CONTINUOUS IMPROVEMENT
  • Set goals & define metrics for each event including to measure program success
  • Gather feedback, analyze event performance, and provide insights to improve future events, showcasing ROI and key success metrics.
  • Stay abreast of industry trends, competitor activities, and emerging technologies to continuously innovate and enhance event offerings.

REQUIREMENTS
  • 2+ years of experience planning events and experiences with an understanding of event sourcing
  • Bachelor's degree in a Business or Creative major or equivalent experience
  • Valid CA Driver's License
  • Able to travel out of state for multi-day, overnight events as needed (up to 20%) to manage on-site logistics and provide hands-on support.
  • Availability to work early mornings, late evenings and weekends regularly for events.
