Corporate Programs Administrator (Finance)

“A Day in the Life”

We are seeking a highly organized and detail-oriented professional to join our team in a key role overseeing multiple company-wide programs, ensuring their efficiency, compliance, and alignment with organizational goals. This role requires exceptional organizational skills, attention to detail, stakeholder collaboration, and program administration expertise. In this position, you will act as a key liaison between employees, vendors, leadership, and external partners and will be responsible for managing all aspects of the company-wide corporate travel program and policies, credit card program, expense management program and policies, employee recognition program and policies, office facilities, and employee engagement initiatives.

You will serve as a key point of contact for managers and employees, providing expert support on travel and expense-related issues and employee recognition issues and solutions, which, at times, may require collaborating with department leaders to resolve escalations. You will be highly involved in new hire experiences relating to training and education on the programs.

You will also play a key role in maintaining the vendor relationships and offering guidance, training, and oversight of the programs and processes. Also, continuously identifying areas of improvement to meet the evolving needs of the business.

“What You'll Do”

Corporate Travel Agency Program Management

  • Responsible for full oversight and functionality of Corporate Travel Management program and partnership with corporate travel agency.
  • Oversee and maintain company T&E policy and adherence.
  • Manage functionality of online booking tool and program changes and enhancements.
  • Partner with third-party vendor to ensure full compliance with company T&E policy.
  • Attend regular meetings with vendor partner to ensure program success and company compliance with policies and goals.
  • Train employees how to use the online booking tool and maintain the library of training material on SharePoint.
  • Provide customer service support to employees with issues concerning experience or online booking tool.
  • Work with IT to ensure data files are delivered on a regular basis with no issues.
  • Provide group travel support for division-wide or enterprise-wide meetings.
  • Regularly review compliance reports and follow up with the travelers and their managers as needed.
  • Traveler support & communication

Enterprise-wide credit card program
  • Program Administrator responsible for the company corporate credit card program.
  • Oversight of the entire corporate credit card program and its operation/functionality as well as partnership with bank management.
  • Manage credit card requests and credit limit increases through ticketing system until fully approved.
  • Process card fulfillment requests (new cards, cancel cards, replacement cards, credit limit increases, etc.)
  • Assist employees with issues using their company credit card (declined transactions, credit limit inquiries, fraudulent claims/ activity on bank cards and how to report or handle on expense report, etc.)
  • Manage bank card mailings to employees.

Expense management program

  • Program Administrator responsible for the full oversight and functionality of third-party vendor for the expense reimbursement program.
  • Collaborate with IT, Payroll, and AP to maintain data integrity and address employee inquiries.
  • Train employees how to use the expense management system and maintain the library of training material on SharePoint.
  • Implement changes/upgrades to the user interface as needed.
  • Generate compliance reports, support auditing teams, and track ongoing improvements.
  • Assist employees with troubleshooting issues or respond to questions related to submitting expense reports or approvals.
  • Review compliance reports on a regular basis and work with employees and their managers to correct habitual compliance violations.
  • Follow up with new cardholders to ensure they are completing training and comprehending it.

Employee recognition program management

  • Manage the anniversary and recognition programs, ensuring employee engagement and alignment with company values.
  • Partner with the third-party vendor, HRBPs, and leadership to continuously improve recognition initiatives.
  • Provide reports, track budget allocation, and ensure compliance with program policies.

Shipping program management

  • Administer the shipping program access, streamline account management, and ensure operational continuity.

Employee engagement committee co-chair

  • Co-lead engagement committee meetings, generate creative ideas, and facilitate events both virtually and in person.
  • Organize cross-functional collaboration efforts and maintain digital engagement platforms.

Office facility co-management

  • Manage office security access and alarm codes.
  • Partner with the Service Manager on facility-related projects, vendor research, contract negotiations, and facility maintenance.
  • Partner with internal tenants, receptionists, and operations teams for office administration.

Additional responsibilities may include:

  • Donation Committee administration
  • Oversee donation requests, committee meetings, and financial processing.
  • General accounting
  • Process outstanding invoices, manage workflow approvals, and assist in administrative tracking

“Must Haves”

  • Proficient computer skills required, including Microsoft Office Suite.
  • Excellent written and verbal communication, professional speaking skills, presentation and interpersonal skills to work with cross-functional teams and executives.
  • Ability to manage multiple priorities and work effectively in a fast-paced environment.
  • Lead with bold curiosity always asking 'what if?" and chasing idea that others overlook.
  • Excellent analytical and problem-solving skills, with attention to detail.
  • Strong negotiation skills.
  • Ability to work independently with little to no direction.
  • Experience in program management, administrative support, and/or financial operations

“Nice to Haves”
  • Bachelor's degree is a plus, or proven work experience will be considered in lieu of a degree.
  • Experience in travel management software and tools.
  • Experience in procurement or finance functions related to travel spend.
  • Knowledge of travel risk management and safety protocols.
  • Experience in employee engagement and recognition program administration.
  • Notary Public certification, or willingness to become certified.
